Initial Full Community Assessment
Our management process begins with a thorough review of your communityâs governing documents, financial information, existing contracts, operational procedures, and current priorities. This allows our team to better understand the association, identify immediate needs, and prepare for an effective transition.
As part of the onboarding process, our team works closely with the Board to establish priorities, confirm existing procedures, coordinate the transition of records and services, and ensure the association is set up for effective day-to-day management. From there, we continue working with the Board to address ongoing needs, improve efficiency, and support the long-term operation of the community.
Robust Individual Websites
Every association we manage receives a dedicated, professionally maintained website designed to showcase the community and keep residents informed. Premier handles ongoing updatesâincluding meeting dates, minutes, resolutions, announcements, and online formsâso your Board doesnât have to. Residents gain a reliable, easy-to-use resource where they can access important community information whenever they need it.
Automatic Debit for Assessments
Premier makes paying assessments easier by providing residents with secure online payment and recurring automatic-debit options. Once enrolled, payments are withdrawn from the residentâs designated bank account according to the associationâs assessment schedule. This convenient service helps reduce missed payments, processing delays, and reliance on mailed checksâgiving residents an easier way to stay current while reducing administrative follow-up for the Board.
Proactive Maintenance
While not every emergency can be prevented, proactive maintenance can reduce unexpected failures and costly disruptions. Premier works with each Board to monitor common-area conditions, identify visible maintenance concerns during contracted inspections, and coordinate qualified vendors for approved work. When an issue is identified, we communicate it to the Board and assist with proposals, scheduling, and follow-through in accordance with the associationâs management agreement and approved budget. This proactive approach helps protect the communityâs property and reduce the risk of avoidable maintenance emergencies.
Vendor Performance Oversight
Premier assists Boards with the vendor-selection process by soliciting proposals, organizing bids for comparison, and helping evaluate pricing, scope, and available vendor information. We also request applicable licensing and insurance documentation when appropriate. Once the Board selects a vendor and authorizes the work, our team facilitates communication, scheduling, and routine administrative follow-up. When a project requires technical evaluation, on-site supervision, or specialized oversight, we help the Board coordinate with the qualified engineer, consultant, or other professional retained by the association.
Vendor Contract Review
Beyond overseeing vendor performance once they are on-site, we also provide annual vendor contract reviews. These vendor contract reviews make sure that your HOA is getting the best deal and quality of work possible. The vendor contracts often include annual sprinkler system inspection, HVAC work, pest control, landscaping, snow removal, and all of the other vendors that help keep your community safe and in great condition.
Inspection Services
Premier conducts routine visual inspections in accordance with each associationâs management agreement. During these visits, the community manager reviews accessible common areas and community conditions for visible maintenance concerns, covenant issues, and other matters that may warrant Board attention. Relevant findings are documented and communicated to the Board, and our team assists with authorized follow-up and vendor coordination. When a condition requires specialized evaluation, we help the Board engage the appropriate qualified professional.
